RULES OF THE 5 KM RACE AS PART OF THE GDAŃSK MARATHON 2025
- The organizer of the 5 km run held during Gdańsk Marathon 2025 (hereinafter referred to as the Event) is Energy Events Sp. z o.o. Sp.k., ul. Kaszubska 53, 80-297 Miszewko
- The Event Office (from 5.04.2025 to 6.04.2025) is located at Polsat Plus Arena Gdańsk, ul. Pokoleń Lechii 1, Gdańsk.
- Popularization and dissemination of running as the simplest form
- Promotion of the City of Gdańsk in Poland and around the world.
- Promotion of event Partners and Sponsors before, during and after the event.
- The event will take place on April 6, 2025 in Gdańsk. Start and finish at Polsat Plus Arena Gdańsk, ul. Pokoleń Lechii 1.
- The event will start at 9:40.
- The starting line will be closed 2 minutes after the last sound signal.
- The start will be mass.
- Only Participants registered for the Event in accordance with the provisions of these Regulations may take part in the Event.
- The Organizer has the right to change the date and/or place of the Event, and the Participant will be notified of this by posting appropriate information on the website gdanskmaraton.com no later than 24 hours before the start of the Event. Making changes in this respect does not result in the creation of additional obligations on the part of the Organizer towards the Participant.
- The Organizer has the right to cancel the Event in the event of a significant change in circumstances that means that the implementation of the Event is not in the public interest or in the event of legal restrictions coming into force that make it impossible to organize it. The Organizer will post appropriate information on the Event Website www.gdanskmaraton.com no later than 24 hours before the start of the Event. Cancellation of the Event does not result in the creation of additional obligations on the part of the Organizer towards the Participant.
- The length of the route is approximately 5 km. The route will not have the certificate of the Polish Athletics Association (hereinafter PZLA).
- A Participant is a person who has registered using the form available on the Organizer’s website gdanskmaraton.com and paid the entry fee on time, i.e. in accordance with the provisions of Chapter V, REGISTRATION, point 2).
- Only persons who turn 16 years of age no later than the day of the Event are entitled to take part in the Event.
- The starting package can only be collected at the Event Office. The Event Office opening hours are specified in the schedule available on the website gdanskmaraton.com
- The basis for receiving the starting package along with the starting number is the presentation by the Participant of an identity document with a photograph at the Event Office.
- Collection of the starting package on behalf of another Participant is possible only on the basis of a signed authorisation (Appendix No. 1).
- Each Participant who transfers the starting package to another person and a person who receives such a package and starts in the Event, without reporting this fact to the Organizer (in the form described in Chapter VI Entry Fee, point 7) will be disqualified on the results list of the Event. Only positive feedback provided as a reply from the email address: info@gdanskmaraton.com is considered the Organizer’s consent to transfer the starting number to another designated Participant.
- The Organizer prohibits Participants from selling received starting packages under penalty of disqualification.
- Each Participant is bound by the PZLA regulations and this

- Participants are required to observe public order, the orders of the security services and respect other Participants. The Organizer has the right to remove from the Event area persons who disturb public order, the course of the Event or behave contrary to the Regulations and the provisions of the PZLA.
- The Organiser will make every effort to provide all information via the loudspeaker system before and during the race, and it is therefore recommended not to use your own electronic devices with headphones to hear the Organiser’s and judges’ announcements.
- Providing personal data and expressing consent to their processing is voluntary, but necessary to participate in the Event in accordance with the provisions of the Regulations. Persons who have provided their personal data have the right to access their data and correct them, as well as to withdraw consent to their processing. Withdrawal of consent to the processing of personal data until the end of the Event results in the inability to participate in it. At any time, the Organizer may process personal data in connection with the organization of the Event, also in cooperation with other entities to the extent necessary for the proper organization of the Event.
- If a Participant provides false and unverifiable data regarding previous results, the Organizer has the right to move him to the last starting zone.
- Only Participants, Event staff and emergency vehicles and those with the Organizer’s pass may stay on the Event route.
- The Organizer only allows the use of active wheelchairs with direct drive (Active Wheelchair) by people with a documented degree of disability.
- For safety reasons, the use of three-wheeled strollers is prohibited:
– direct drive sports strollers (Rim Push stroller),
– sports strollers with indirect drive (Hand Bike stroller). - People suffering from COVID-19, infected with SARS-CoV-2, in quarantine, isolation, or showing symptoms of the immune system cannot participate in the event.
- A competitor starting in an active wheelchair with direct drive must inform the Organizers about this fact by sending an e-mail to info@gdanskmaraton.com or at the Race Office when collecting the package.
- The GDPR clause constitutes Annex No. 2 to the regulations
- will be accepted until 23.03.2025.
- Participation in the Event is determined by the date of payment of the entry fee. The date and time of payment of the entry fee in the bank account of the Organizer are considered the date of payment of the entry fee.
- Applications are accepted on the website gdanskmaraton.com
- It is possible to register for the Event in person at the Event Office on the days it is open, but the Organizer reserves a limit of one hundred newly registered people in this way. The order of applications at the Event Office is decisive. People registered at the Event Office receive only and exclusively a starting number.
- The Event Organizer reserves the right to provide additional starting packages for invited guests.
- Each Participant pays an entry fee, the amount of which depends on the date of the transfer. The following entry fees apply:
until 31.12.2024 – PLN 49
from 1.01.2025 to 31.01.2025 – PLN 59
from 01.02.2025 – to 28.02.2025 – PLN 69
from 01.03.2025 – to 23.03.2025 – PLN 79
at the Event Office – PLN 99 (payment possible in cash or by card)
*holders of the Gdańsk City Resident Card – receive a 10% discount at each price level - In the event of failure to pay the entry fee in a sufficient amount (e.g. as a result of exceeding the payment deadline specified in these Regulations), the Participant is obliged to make up the difference up to the amount that he or she should have paid in accordance with the deadline for making his or her last payment.
- Proof of receipt of the entry fee is the appearance of the participant’s name on the starting list.
- Start numbers will be issued to Participants after the registration deadline.
- The Organizer is not responsible for the loss of the entry form or postal order or bank transfer due to the fault of the post office or bank.
- The organizer allows payment by bank transfer for the start based on a proforma invoice. After paying the proforma invoice and posting the funds to the organizer’s account, the organizer sends a one-time code enabling free registration for the competition. The code is valid until March 23, 2025, 11:59 p.m. The organizer is not responsible for failure to register on time and does not refund funds for an unused registration code.
- The entry fee once paid is non-refundable, even in the event of the Participant withdrawing from the Event or being disqualified by the Organizer.
- In justified cases of force majeure, the Organizer will consider transferring the starting number to another designated Participant. Only requests submitted to the following address will be considered: info@gdanskmaraton.com by 21.03.2025, 23:59.
- As part of the entry fee, the Participant receives the opportunity to participate in the Event and a starting package.
- The costs of entry fee, travel and other services are covered by the Participants themselves.
- The Organizer does not send uncollected starting packages by post.
- It is not possible to collect the starting package after the closing time of the Event Office.
- Time measurement is performed using timing chips.
- There will be time control points on the Event route. Participants who shorten the route will be disqualified. Failure to read the Participant’s appearance at a given control point may result in disqualification.
- Time is measured using non-returnable chips placed in the starting numbers.
- It is forbidden to remove chips from starting numbers.
- The official time of the Event is gross time.
- The Organizer introduces a time limit of 60 minutes to complete the route. In the event of exceeding the prescribed time limit, the Participant is obliged to leave the route.
- Participants who arrive at the finish line by bus will not be classified by the Organizer. On the Website, in place of the Participant’s time, the information “DNF” will be entered, meaning “did not finish the race”.
- The Participant is prohibited from remaining on the route after the Event control time limit has elapsed. The Participant who remains on the Event route will be held liable in accordance with the applicable provisions of the Civil Code and the Road Traffic Law.
- There will be no aid stations along the 5km route.
- The following classifications will be conducted during the Event:
a) general classification (hereinafter OPEN) for women (hereinafter F) and men (hereinafter M),
b) the category of disabled Participants F and M, which includes people with movement impairments, excluding people using wheelchairs. In order to be classified in the category of disabled people, you must show a certificate of disability or a disabled person’s ID when collecting your package,
c) classification of people in direct drive wheelchairs divided into women and men. Participants in sports wheelchairs with a rim-push drive or a handbike drive will not be allowed to participate in the Run. Note! The race route includes cobblestone and gravel sections.
- Changing rooms and a deposit for Participants will be located in a marked tent on the premises of Polsat Plus Arena Gdańsk, ul. Pokoleń Lechii 1.
- The deposit will be open on the day of the Event at the hours specified in the schedule available on the website gdanskmaraton.com
- Participants deposit items packed in bags, marked with a sticker with the starting number. The bags and stickers are provided by the Organizer in the starting package.
- The bags will be released from the deposit upon presentation of the bib number.
- In the case of loss of the bib number, the bag with the Participant’s belongings left in the deposit will be released upon presentation of an identity document with the Participant’s photograph.
- Loss of the starting number by the Participant releases the Organizer from liability for items taken by another person.
- The Organizer is not responsible for valuables left in the changing room.
- All Participants who complete the Event will receive commemorative medals at the finish line.
- The organizer may fund financial prizes for places in the general classification of Women and Men. Information about financial prizes will be announced no later than 21 days before the event.
- Personal income tax will be deducted from any cash prizes in accordance with applicable regulations.
- Any financial prizes for Participants will be paid only on the basis of a correctly completed form, by transfer to the Participant’s indicated personal bank account (prizes will not be paid in cash) within 30 days of the announcement of the official results.
- The organizer reserves the right to fund additional cash and material prizes in categories and classifications of its choice.
- The final interpretation of the Regulations belongs to the Organizer.
- Participants declare that all personal and health-related data entered by them in the application form are complete and true.
- The Organizer is not responsible for any collisions or accidents on the route caused by the fault of the Participant, nor for accidents or random events occurring during travel to and from the Event.
- Each Participant takes part in the Event at their own risk. Submitting a correctly completed Registration Form to the Organizer and paying the entry fee means that the Participant has considered and assessed the nature, scope and degree of risk associated with participation in the Event, including the risk of accidents, the possibility of bodily injury and physical harm (including death), as well as property damage and losses, and has voluntarily decided to take this risk.
- The Organizer and all persons acting on his behalf or with his authorization, related to conducting and organizing the Event, are not liable for any personal injury or property damage to Participants that may occur before, during, after or in connection with the Event.
- Participants are liable for any damage they cause to other Event Participants and third parties.
- Participants undertake to comply with the terms of these Regulations. The Participant’s signature on the Event registration form confirms that they have read the terms of the Regulations, participation in the Event and their full acceptance.
- The participant is required to place the start number on the front of the torso. The start number must be visible. Covering or removing the start number will result in disqualification..
- The Event Participant consents to the public disclosure of his/her personal data in the form of name, surname, town and year of birth on the start list and on the results list.
- The Organizer and Event Partners are authorized to use the image, statements and personal data of individual Participants participating in individual stages of the Event, and these images and data will be used in materials promoting the Event and accompanying events (press, radio, television, Internet, graphic materials). Participants are not entitled to any further gratifications, in particular remuneration for the use of the image, statements and personal data of individual Participants. The Participant undertakes not to withdraw the above consent for at least 5 years from the date of the Event.
- Ignorance of the Event Regulations does not exempt the Participant from the rules specified by the Organizer in the above-mentioned document.
- The regulations may be changed by the Organizer at any time.
- Animals are not allowed on the Event route.
- Participants are prohibited from bringing in narcotics, illegal substances, performance enhancing substances and alcohol of any kind. Participants are prohibited from taking such drugs and substances both before and during the race under penalty of disqualification. If it is found that a Participant violates the above prohibition, the Organizer reserves the right not to allow them to participate in the race or to disqualify them during it.
- The Participant is not allowed to use any assistance specified in the rules of athletics competitions, including assistance to the Participant by persons not participating in the Event, running with the Participant or riding a bicycle.
- The Organizer provides medical care exclusively for the Event Participants on the Event route from the start to the closing of the Event route specified by the time limit, as well as in a marked tent, in the parking lot at the end of Aleja Jana Pawła II until 3:00 p.m. The Organizer does not cover medical costs or transport costs not covered by the scope of the Event medical coverage.
- Decisions made by the Medical Coordinator or medical service regarding the Participant’s participation in the Event are independent and binding on the Participant. Failure to follow the recommendations of the medical service will result in disqualification of the Participant.
- Participants in the Event are obliged to follow the instructions of the Police, Municipal Police and the Organizer’s security personnel and services securing the route of the Event.
- Protests regarding the results are accepted until 7.04.2025 (Monday) until 15:00 to the email address: info@gdanskmaraton.com Protests submitted after the deadline will not be considered on the merits. Protests will be considered within 72 hours.
- The final and official results will be published no later than 24/04/2025, 3:00 p.m.
Przetwarzanie danych osobowych uczestników przekazanych Organizatorowi podczas rejestracji w związku z udziałem w Imprezie obejmuje także publikację imienia i nazwiska, daty urodzenia uczestnika wraz z nazwą miejscowości, w której zamieszkuje – w każdy sposób, w jaki publikowane lub rozpowszechniane będą dane osobowe. Organizator ma również prawo opublikować imię i nazwisko uczestnika wraz z jego datą urodzenia, nazwą klubu i miejscowością, w której zamieszkuje, na liście startowej oraz w wynikach zawodów publikowanych w Internecie i w miejscu rozgrywania Imprezy.
Informujemy, że podczas wydarzeń organizowanych lub współorganizowanych przez Energy Events Sp. z o.o. Sp.k. (ul. Kaszubska 53, 80-297 Miszewko), dalej jako Energy Events, będą wykonywane, a następnie upubliczniane za pośrednictwem profilu Gdańsk Maraton na portalu społecznościowym Facebook (https://www.facebook.com/profile.php?id=61566429442527) oraz strony internetowej www.gdanskmaraton.com zdjęcia lub filmy, na których może zostać uchwycony wizerunek osób obecnych, jak również ich inne dane osobowe.
Przebywając na terenie lub biorąc udział w imprezie sportowej, festynie czy innym wydarzeniu organizowanym lub współorganizowanym przez Energy Events, uczestnicy oraz obserwatorzy wyrażają zgodę na upublicznianie i przetwarzanie ich wizerunków na zdjęciach lub filmach wykonanych podczas wydarzeń, a także ewentualnie innych danych osobowych. Jednocześnie zapewniamy, że dokładamy wszelkich starań, aby zadbać o bezpieczeństwo Państwa danych.
ADMINISTRATOR DANYCH OSOBOWYCH:
Administratorem danych osobowych jest: Energy Events Sp. z o.o. Sp.k. Informujemy także, że Energy Events wyznaczył Inspektora Ochrony Danych z którym można się kontaktować listownie, na adres Energy Events (Administratora) podany wyżej, z dopiskiem: „DO INSPEKTORA OCHRONY DANYCH OSOBOWYCH” lub mailowo, na adres e-mail: rodo@energyevents.pl – we wszystkich sprawach związanych z przetwarzaniem danych osobowych przez Energy Events.
ODBIORCA DANYCH OSOBOWYCH:
Dane osobowe będą ujawniane pracownikom, współpracownikom oraz podwykonawcom Energy Events w zakresie niezbędnym dla realizacji wcześniej wymienionych celów przetwarzania danych osobowych.
Listy startowe i wyniki, zawierające podstawowe dane osobowe, będą ogólnodostępne, w tym mogą być publikowane na stronie internetowej Imprezy.
CEL I OKRES PRZETWARZANIA DANYCH:
Dane osobowe uczestników Imprezy będą przetwarzane w celach wykonania umowy, tj. udziału Uczestnika w Imprezie, przeprowadzenia imprezy, wyłonienia zwycięzcy i przyznania, wydania, odbioru i rozliczenia nagrody, a także publikacji wyników.
Dane osobowe będą przetwarzane zgodnie z obowiązującymi przepisami prawa w celu dokumentowania, archiwizowania i rozpowszechniania informacji o działaniach podejmowanych lub wspieranych przez Energy Events. Dane te w postaci wizerunku będą upubliczniane na stronie internetowej oraz na profilach Energy Events w mediach społecznościowych, a także udostępniane uczestnikom i organizatorom wydarzenia, podmiotom uprawnionym na podstawie przepisów prawa, udzielonej zgody lub w oparciu o umowę powierzenia.
Dane osobowe będą przetwarzane w okresie korzystania ze strony www.gdanskmaraton.com oraz udziału w Imprezie, na którą Uczestnik zapisze się za pośrednictwem strony internetowej.
Po zakończeniu tego okresu, dane osobowe będą nadal przechowywane w celach wynikających z przepisów prawa (szczególnie podatkowych i rachunkowych) a także przeciwdziałania oszustwom i nadużyciom oraz dochodzenia ewentualnych roszczeń wynikających z zawartej umowy.
Część danych osobowych (szczególnie te, które znajdują się w wynikach Imprezy) mogą być przetwarzane także po tym termie w celach statystycznych, archiwalnych lub promocyjnych.
PRAWA OSÓB, KTÓRYCH DANE DOTYCZĄ:
Udział w wydarzeniach i tym samym udostępnienie danych osobowych m.in. w postaci wizerunku jest dobrowolne, jednak niezbędne do uczestnictwa lub przebywania na terenie wydarzenia. Dane te nie będą profilowane ani transferowane do państw trzecich oraz organizacji międzynarodowych.
Każdemu przysługuje prawo do cofnięcia zgody na przetwarzanie jego danych, które Energy Events jako administrator posiada w swoich bazach, jak również dostępu do tych danych, ich sprostowania, usunięcia lub ograniczenia, wniesienia sprzeciwu wobec przetwarzania, przenoszenia danych oraz wniesienia skargi do organu nadzorczego. Należy pamiętać, że cofnięcie zgody nie działa wstecz – przetwarzanie będzie legalne do chwili wycofania zgody przez osobę, której dane dotyczą.
Przy zgłaszaniu zmian w zakresie przetwarzania swoich danych należy dokładnie wskazać, których zdjęć, filmów czy treści zmiany te mają dotyczyć. Dane te są przechowywane do czasu wycofania zgody lub osiągnięcia celu, w którym dane są przetwarzane.
PODSTAWA PRAWNA:
25 maja 2018 roku weszło w życie Rozporządzenie Parlamentu Europejskiego i Rady (UE) 2016/679 z dnia 27 kwietnia 2016 r. w sprawie ochrony osób fizycznych w związku z przetwarzaniem danych osobowych i w sprawie swobodnego przepływu takich danych oraz uchylenia dyrektywy 95/46/WE („RODO”).
Podstawą prawną przetwarzania Państwa danych są art. 6 ust. 1 lit. f RODO (uzasadniony interes Administratora, którym w tym przypadku jest promocja działań GOS) oraz art. 6 ust. 1 lit. a i b RODO tj. zgoda podmiotu danych oraz wykonanie umowy, której Uczestnik jest stroną.
Zgodnie z definicją danych osobowych zawartą w RODO, wizerunek jest uznawany za dane osobowe, dlatego też podlega ochronie na zasadach zawartych w tym akcie. Ponadto w oparciu o art. 81 ust. 2 ustawy o prawie autorskim zezwolenia nie wymaga rozpowszechnianie wizerunku:
osoby powszechnie znanej, jeżeli wizerunek wykonano w związku z pełnieniem przez nią funkcji publicznych, w szczególności politycznych, społecznych, zawodowych (np. dyrektor, kierownik);
osoby stanowiącej jedynie szczegół całości takiej jak zgromadzenie, krajobraz, publiczna impreza.
