REGULAMIN GDAŃSK MARATON JUNIOR 2025
- The organizer of the Gdańsk Marathon Event (hereinafter referred to as the Event) is Energy Events Sp. z o.o. Sp.k. with its registered office in Miszewko (80-297), ul. Kaszubska 53
- The Event Office (from 5/04/2025 to 6/04/2025) is located at Polsat Plus Arena Gdańsk, ul. Pokoleń Lechii 1 (hereinafter referred to as the Event Office).
- Popularization and dissemination of running as the simplest form
- Promotion of the City of Gdańsk in Poland and worldwide.
- Promotion of Partners and Sponsors of the event before, during and after the event.
- The event will take place on 5.04.2025 in Gdańsk at the Polsat Plus Arena Gdańsk, ul. Pokoleń Lechii 1.
- The event will start at 16:30. A detailed schedule of starts for each age category will be provided by the Organizer on the website www.gdanskmaraton.com no later than 30 March 2025.
- The starting line will be closed 2 minutes after the last sound signal
- The start of each race will be a mass start, i.e. a joint start at the starter’s signal.
- Only Participants registered to participate in the Event in accordance with the provisions of these Regulations may take part in the Event.
- The Organizer has the right to change the date and/or place of the Event, and the Participant will be notified of this by posting appropriate information on the website gdanskmaraton.com no later than 24 hours before the start of the Event. Making changes in the above scope does not result in the Organizer creating additional obligations towards the Participant.
- The Organizer has the right to cancel the Event in the event of a significant change in circumstances that makes the implementation of the Event not in the public interest or in the event of legal restrictions coming into force that make it impossible to organize. The Organizer will post appropriate information on the Event Website www.gdanskmaraton.com no later than 24 hours before the start of the Event. Cancellation of the Event does not result in the Organizer creating additional obligations towards the Participant.
- The length of the route is approximately 200 m for participants aged 1-6, approximately 500 m for participants aged 7-11 and approximately 1000 m for participants aged 12-15. The route does not have a PZLA certificate. The length of the route will be measured using GPS devices and a measuring bike.
- A Participant is a person who has registered using the form available on the Organizer’s website www.gdanskmaraton.com and paid the entry fee on time, i.e. in accordance with the provisions of Chapter V REGISTRATIONS, point 2).
- The starting package can only be collected at the Event Office. The opening hours of the Event Office are specified in the schedule available on the website www.gdanskmaraton.com
- The starting packages are collected by parents, legal guardians or coaches for organized groups.
- When collecting the starting package, parents, legal guardians or coaches are required to sign a declaration on the Organizer’s form.
- Each Participant who gives the starting package to another person and a person who receives such a package and starts in the Event without reporting this fact to the Organizer (in the form described in Chapter VI Entry Fee, point 7) will be disqualified from the Event results list. The Organizer’s consent to transfer the start number to another designated Participant is only considered to be positive feedback provided as a reply from the email address: info@gdanskmaraton.com
- The Organizer prohibits Participants from selling received start packages under penalty of disqualification.
- Each Participant is subject to the provisions of the PZLA and these Regulations.
The Organizer does not send start packages to the Participant’s address. - Participants are obliged to observe public order, the orders of the security services and respect other Participants. The Organizer has the right to remove from the Event area people who disrupt public order, the course of the Event or behave contrary to the Regulations and the provisions of the PZLA.
- The Organizer will make every effort to transmit all information through the loudspeaker system before and during the race, therefore it is recommended not to use your own electronic devices with headphones to hear the announcements of the Organizer and judges.
- Providing personal data and expressing consent to their processing is voluntary, but necessary to participate in the Event in accordance with the provisions of the Regulations. Persons who have provided their personal data have the right to access and correct their data and withdraw consent to their processing. Withdrawal of consent to the processing of personal data until the end of the Event results in the inability to participate in it. At any time, the Organizer may process personal data in connection with the organization of the Event, also in cooperation with other entities to the extent necessary for the proper organization of the Event.
- People suffering from COVID-19, infected with SARS-CoV-2, in quarantine, isolation, or manifesting respiratory symptoms cannot participate in the event.
- The GDPR clause constitutes Annex No. 2 to the Regulations.
- Online applications will be accepted until 4.04.2025.
- Participation in the Event is determined by the date of payment of the entry fee. The date of payment of the entry fee is considered to be the date and time of posting the entry fee on the Organizer’s bank account.
- The allocation to a given age category is determined by the child’s year of birth, not the exact date of birth. For example, for a child born on 20 September 2018: 2025 – 2018 = 7 years old, the child should be registered for the 500 m race, despite the fact that they have not yet turned 7.
- Applications are accepted on the website www.gdanskmaraton.com
It is possible to register for the Event in person at the Event Office on the day it opens, but the Organizer reserves a limit of one hundred newly registered people in this way. The order of applications at the Event Office is decisive. People registered at the Event Office receive only a starting number. - The Event Organizer reserves the right to provide additional starting packages for invited guests.
- Each Participant pays an entry fee, the amount of which depends on the date the transfer is sent. The following entry fees apply:
– until 28 February 2025 – PLN 25
– until 4 April 2025 – PLN 45
– at the Event Office – PLN 60 (payment possible in cash or by card) - In the event of failure to pay the entry fee in a sufficient amount (e.g. as a result of exceeding the payment deadline specified in these Regulations), the Participant is obliged to compensate the difference up to the amount that he should have paid in accordance with the deadline in which he made his last payment.
- The proof of receipt of the entry fee is the appearance of the participant’s name on the start list.
- Start numbers will be assigned to Participants after the end of the registration period.
The Organizer is not responsible for the loss of the application, postal order or bank transfer due to the fault of the post office or bank. - The Organizer allows payment by bank transfer for the start based on a ProForma invoice. After paying the ProForma invoice and posting the funds to the organizer’s account, the organizer will send a one-time code enabling free registration for the competition. The code is valid until April 4, 2025, 11:59 p.m. The organizer is not responsible for failure to register on time and will not refund funds for an unused registration code.
- The entry fee once paid is non-refundable, also in the event of the Participant’s withdrawal from the Event or their disqualification by the Organizer.
- In justified cases of force majeure, the Organizer will consider transferring the starting number to another designated Participant. Only requests submitted to the following address will be considered: info@gdanskmaraton.com by March 21, 2025, 11:59 p.m.
- As part of the entry fee, the Participant receives the opportunity to participate in the Event and a starting package.
- The costs of the entry fee and travel and other services are covered by the Participants themselves.
- The Organizer does not send uncollected starting packages by post.
It is not possible to collect the starting package after the Event Office is closed.
- Time measurement is carried out using an electronic system.
- Time measurement is carried out using non-returnable chips placed in the start numbers.
- It is forbidden to peel off chips from the start numbers.
- The official time of the Event is the gross time.
- During the Event, the following age classifications will be held: C (boys) and D (girls):
– C and D 1 – 3 years – 200 m distance
– C and D 4 – 6 years – 200 m distance
– C and D 7 – 8 years – 500 m distance
– C and D 9 – 11 years – 500 m distance
– C and D 12 – 13 years – 1000 m distance
– C and D 14 – 15 years – 1000 m distance
- All Participants who finish the Event will receive commemorative medals at the finish line.
- Participants who take 1st – 3rd place in their age category will receive small prizes provided by the Organizer and event sponsors.
- The final interpretation of the Regulations belongs to the Event Organizer.
- Participants declare that all personal data and health data entered by them in the registration form are complete and true.
- The Organizer is not responsible for any collisions and accidents on the route caused by the Participant’s fault and for accidents and random events occurring during travel to and from the Event.
- Each Participant takes part in the Event at their own risk. Providing the Organizer with a correctly completed Registration Form and paying the entry fee means that the Participant has considered and assessed the nature, scope and degree of risk associated with participation in the Event, including the risk of accidents, the possibility of bodily injury and physical trauma (including death), as well as property damage and losses, and has voluntarily decided to take this risk.
- The Organizer and all persons acting on its behalf or with its authorization related to conducting and organizing the Event are not responsible for personal injury, property damage and property losses of Participants that occur before, during, after or in connection with the Event.
- Participants are civilly liable for all damage they cause to other Participants of the Event and third parties.
- Participants undertake to comply with the terms of these Regulations. The Participant’s signature on the registration form for the Event confirms that they have read the terms of the Regulations, participation in the Event and their full acceptance.
- The Participant is obliged to place the starting number on the front of their torso. The starting number must be visible. Covering or removing the starting number will result in disqualification.
- The Participant of the Event agrees to the public disclosure of their personal data in the form of name and surname, town and year of birth on the starting list and on the list with results.
- The Organizer and the Event Partners are entitled to use the image, statements and personal data of individual Participants taking part in individual stages of the Event, and these images and data will be used in materials promoting the Event and its accompanying events (press, radio, television, Internet, graphic materials). Participants are not entitled to any further compensation, in particular remuneration for the use of the image, statements and personal data of individual Participants. The Participant undertakes not to withdraw the aforementioned consent for at least 5 years from the date of the Event.
- Ignorance of the Event Regulations does not exempt the Participant from the rules specified by the Organizer in the aforementioned document.
- The Regulations may be changed by the Organizer at any time.
- Animals are prohibited from entering the Event route.
- Participants are prohibited from bringing in narcotics, illegal substances, performance-enhancing drugs and alcohol of any kind. Participants are prohibited from taking such drugs and substances both before and during the race under threat of disqualification. If it is found that the Participant violates the above prohibition, the Organizer reserves the right to prevent him from participating in the race or disqualify him during it.
- The Participant is not allowed to use any assistance specified in the regulations of track and field competitions, including assistance to the Participant by persons not participating in the Event, running with the Participant or riding a bike.
- The Organizer provides medical care exclusively for the Participants of the Event on the Event route from the start to the closing of the Event route. The Organizer does not cover medical costs or transport costs not covered by the scope of the Event’s medical coverage.
- Decisions made by the Medical Coordinator or medical service regarding the Participant’s participation in the Event are independent and binding on the Participant. Failure to follow the recommendations of the medical service will result in disqualification of the Participant.
- Participants in the Event are obliged to follow the instructions of the Police, City Guard and the Organizer’s security personnel and services securing the Event route.
- Protests regarding the results are accepted until 7.04.2025 (Monday) by 15:00 to the e-mail address: info@gdanskmaraton.com. Protests submitted after the deadline will not be considered on the merits. Protests will be considered within 72 hours.
- The final and official results will be published no later than 24.04.2025 by 15:00.
Processing of personal data of participants provided to the Organizer during registration in connection with participation in the Event also includes publication of the name and surname, date of birth of the participant together with the name of the town where he/she resides – in any way in which personal data will be published or disseminated. The Organizer also has the right to publish the name and surname of the participant together with his/her date of birth, name of the club and the town where he/she resides, on the starting list and in the competition results published on the Internet and at the place of the Event.
We inform that during events organized or co-organized by Energy Events Sp. z o.o. Sp.k. (Kaszubska 53, 80-297 Miszewko), hereinafter referred to as Energy Events, will be taken and then made public via the Gdańsk Maraton profile on the social networking site Facebook (https://www.facebook.com/profile.php?id=61566429442527) and the website www.gdanskmaraton.com, photos or videos that may capture the image of the people present, as well as their other personal data.
By staying on the premises or taking part in a sports event, festival or other event organized or co-organized by Energy Events, participants and observers consent to the publication and processing of their images in photos or videos taken during the events, as well as any other personal data. At the same time, we assure you that we make every effort to ensure the security of your data.

We also inform you that Energy Events has appointed a Data Protection Officer who can be contacted by letter to the address of Energy Events (Administrator) given above, with the note: “TO THE PERSONAL DATA PROTECTION INSPECTOR” or by e-mail to the e-mail address: rodo@energyevents.pl – in all matters related to the processing of personal data by Energy Events.
RECIPIENT OF PERSONAL DATA:
Personal data will be disclosed to employees, collaborators and subcontractors of Energy Events to the extent necessary to achieve the aforementioned purposes of personal data processing.
Starting lists and results, containing basic personal data, will be publicly available, including being published on the Event’s website.
PURPOSE AND PERIOD OF DATA PROCESSING:
Personal data of the Event participants will be processed for the purposes of performing the contract, i.e. the Participant’s participation in the Event, conducting the event, selecting the winner and awarding, issuing, receiving and settling the prize, as well as publishing the results.
Personal data will be processed in accordance with applicable legal regulations in order to document, archive and disseminate information about the activities undertaken or supported by Energy Events. This data in the form of an image will be made public on the website and on Energy Events profiles in social media, and will also be made available to participants and event organizers, entities authorized under the law, granted consent or based on an entrustment agreement.
Personal data will be processed during the period of use of the website www.gdanskmaraton.com and participation in the Event, for which the Participant registers via the website.
After this period, personal data will continue to be stored for purposes resulting from legal regulations (especially tax and accounting) as well as counteracting fraud and abuse and pursuing possible claims resulting from the concluded agreement.
Some personal data (especially those contained in the Event results) may also be processed after this date for statistical, archival or promotional purposes.
RIGHTS OF PERSONS WHOM THEY CONCERN:
Participation in events and thus sharing personal data, including in the form of an image, is voluntary, but necessary to participate in or stay at the event. This data will not be profiled or transferred to third countries or international organizations.
Everyone has the right to withdraw consent to the processing of their data, which Energy Events as the administrator has in its databases, as well as to access this data, rectify it, delete it or limit it, object to the processing, transfer the data and lodge a complaint with the supervisory authority. Please note that withdrawal of consent does not have retroactive effect – processing will be legal until the data subject withdraws consent.
When reporting changes to the processing of your data, you should indicate precisely which photos, videos or content these changes apply to.
This data is stored until the consent is withdrawn or the purpose for which the data is processed is achieved.
LEGAL BASIS:
On 25 May 2018, Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (“GDPR”) entered into force.
The legal basis for the processing of your data is Article 6 paragraph 1 letter f of the GDPR (legitimate interest of the Administrator, which in this case is the promotion of GOS activities) and Article 6 paragraph 1 letters a and b of the GDPR, i.e. the consent of the data subject and the performance of the contract to which the Participant is a party.
According to the definition of personal data contained in the GDPR, an image is considered personal data, and therefore is subject to protection under the principles contained in this act. Furthermore, based on Article 81 paragraph 2 of the Copyright Act, permission is not required to disseminate the image of:
a well-known person, if the image was made in connection with the performance of public functions, in particular political, social, professional (e.g. director, manager);
a person constituting only a detail of a whole such as a gathering, landscape, public event.
A COMPLAINT ABOUT THE WAY OF PROCESSING PERSONAL DATA:
A complaint may be filed with the supervisory authority: President of the Personal Data Protection Office, ul. Stawki 2, 00-193 Warsaw.
