REGULAMIN GDAŃSK MARATON 2025
- The organizer of trainings preparing for Gdańsk Marathon 2025 (hereinafter referred to as the Event) is Energy Events Sp. z o.o. Sp.k. with its registered office in Miszewko (80-297), ul. Kaszubska 53.
- The co-organizer of the training is 4 Run Sp. z o.o., ul. Kossaka 19, lok. 2, 64-920 Piła.
- Preparing participants to cover the marathon distance.
- Promotion of the City of Gdańsk in Poland and around the world.
- Promotion of event Partners and Sponsors before, during and after the event.
- Trainings will take place on the days given on the website gdanskmaraton.com
- The training cycle covers 13 weeks starting from 5/01/2024 to 6/04/2025.
- In weeks 1-6 the organizer plans one training session per week (Sunday), while in weeks 7-13 the organizer plans two training sessions per week (Wednesday and Sunday).
- The meeting point in the city of Gdańsk for each training session will be announced by the organizer no later than 4 days before the training session on the website gdanskmaraton.com and on your social media channels (FB, Instagram).
- The training route will be determined each time by the trainers, taking into account the current training plan, terrain and weather conditions.
- In case of very bad weather conditions (storms, snowstorms, heavy rain, hurricane, etc.) the organizer reserves the right to cancel the training. In case of cancellation of the training, the training fee will be refunded to the participants or the participants will be offered participation in another training within the paid fee.
- A training participant is a person who has registered via the form available on the Organizer’s website www.TimeRecords.pl and paid the training fee in accordance with the provisions of these regulations.
- Only those who will have reached the age of 18 on the day of training are allowed to take part in training.
- Participants are required to respect public order, the instructions of the trainers leading the training and respect other Participants. The organizer has the right to remove from the training persons who disturb public order, the course of the training or behave in a manner unbecoming of an athlete.
- Providing personal data and expressing consent to their processing is voluntary, but necessary to participate in the training in accordance with the provisions of the Regulations. Persons who have provided their personal data have the right to access their data and correct them, as well as to withdraw consent to their processing. Withdrawing consent to the processing of personal data until the end of the training results in the inability to participate in it. At any time, the Organizer may process personal data in connection with the organization of the training, also in cooperation with other entities to the extent necessary for the proper organization of the training.
- People suffering from COVID-19, infected with SARS-CoV-2, in quarantine, isolation, or exhibiting respiratory symptoms cannot participate in the training.
- The GDPR clause constitutes Annex 1 to the Regulations.
- Registration will be open until the day before each training session.
- Participation in the training is decided by the date of payment of the entry fee. The date and time of payment of the entry fee to the bank account of the Organizer is considered the date of payment of the entry fee.
- Applications are accepted only on the Website TimeRecords.pl
- The training fee is 50 PLN.
- Persons who have registered and paid for participation in the Gdańsk Marathon 2025 or are members of the Marathon Relay during the Gdańsk Marathon 2025 and are on the start list are exempt from the fee. Such persons must register for training and will be approved by the organizer on the list after verifying the registration status for the Gdańsk Marathon.
- The paid training fee is not refundable even in the event of the Participant withdrawing from the training. It is possible to transfer the fee to another training provided that this fact is reported by e-mail to the address info@gdanskmaraton.com at least 12 hours before the start of training.
- As part of the training fee, the Participant receives the opportunity to participate in training under the supervision of qualified training staff.
- In the event of cancellation of a training session, regardless of the reason for the cancellation, the Organizer will refund the training fee paid to the participant’s account or will offer the participant participation in another training session within the paid fee.

- During training, Participants have the opportunity to leave their belongings packed in a bag or backpack in the trainers’ depository.
- Items will be released from the depository after the training session has ended.
- The Organizer is not responsible for valuables left in deposit.
- The final interpretation of the Regulations belongs to the Organizer.
- Participants declare that all personal and health-related data entered by them in the application form are complete and true.
- The Organizer is not responsible for any collisions or accidents on the route caused by the fault of the Participant, nor for accidents or random events occurring during travel to and from the Event.
- Each Participant takes part in the training at their own risk. Submitting a correctly completed Registration Form to the Organizer and paying the entry fee means that the Participant has considered and assessed the nature, scope and degree of risk associated with participating in the training, including the risk of accidents, the possibility of bodily injury and physical harm (including death), as well as property damage and losses, and has voluntarily decided to take this risk.
- The Organizer and all persons acting on his behalf or with his authorization, related to the conduct and organization of the training, are not liable for any personal injury or property damage to Participants that may occur before, during, after or in connection with the training.
- Participants are liable for any damage they cause to other Event Participants and third parties.
- Participants undertake to comply with the terms of these Regulations. The Participant’s signature on the training registration form confirms that they have read the terms of the Regulations, participation in the Event and their full acceptance.
- The training participant consents to the public disclosure of his/her personal data in the form of name, surname, town and year of birth on the starting list.
- The Organizer and Training Partners are authorized to use the image, statements and personal data of individual Participants participating in individual stages of the Event, and these images and data will be used in materials promoting the Event and accompanying events (press, radio, television, Internet, graphic materials). Participants are not entitled to any further compensation, in particular remuneration for the use of the image, statements and personal data of individual Participants. The Participant undertakes not to withdraw the above consent for at least 5 years from the date of training.
- Ignorance of the Training Regulations does not exempt the Participant from the rules specified by the Organizer in the above-mentioned document.
- The regulations may be changed by the Organizer at any time.The regulations may be changed by the Organizer at any time.
- It is forbidden to bring animals to training.
- Participants are prohibited from bringing in narcotics, illegal substances, performance enhancing substances and alcohol of any kind. Participants are prohibited from taking such drugs and substances both before and during the race under penalty of disqualification. If it is found that a Participant violates the above prohibition, the Organizer reserves the right not to allow them to participate in the race or to disqualify them during it.
- The organizer does not provide medical care during training.
Processing of personal data of participants provided to the Organizer during registration in connection with participation in the Event also includes publication of the name and surname, date of birth of the participant together with the name of the town where he/she resides – in any way in which personal data will be published or disseminated. The Organizer also has the right to publish the name and surname of the participant together with his/her date of birth, name of the club and the town where he/she resides, on the starting list and in the competition results published on the Internet and at the place of the Event.
We inform that during events organized or co-organized by Energy Events Sp. z o.o. Sp.k. (Kaszubska 53, 80-297 Miszewko), hereinafter referred to as Energy Events, will be taken and then made public via the Gdańsk Maraton profile on the social networking site Facebook (https://www.facebook.com/profile.php?id=61566429442527) and the website www.gdanskmaraton.com, photos or videos that may capture the image of the people present, as well as their other personal data.
By staying on the premises or taking part in a sports event, festival or other event organized or co-organized by Energy Events, participants and observers consent to the publication and processing of their images in photos or videos taken during the events, as well as any other personal data. At the same time, we assure you that we make every effort to ensure the security of your data.
PERSONAL DATA CONTROLLER:

We would also like to inform you that Energy Events has appointed a Data Protection Officer who can be contacted by letter to the address of Energy Events (Administrator) given above, with the note: “TO THE PERSONAL DATA PROTECTION INSPECTOR” or by e-mail to the e-mail address: rodo@energyevents.pl – in all matters relating to the processing of personal data by Energy Events.
RECIPIENT OF PERSONAL DATA:
Personal data will be disclosed to employees, collaborators and subcontractors of Energy Events to the extent necessary to achieve the aforementioned purposes of personal data processing.
Start lists and results, containing basic personal data, will be publicly available and may be published on the Event website.
PURPOSE AND PERIOD OF DATA PROCESSING:
The personal data of the Event participants will be processed for the purposes of performing the contract, i.e. the Participant’s participation in the Event, conducting the Event, selecting the winner and awarding, issuing, receiving and settling the prize, as well as publishing the results.
Personal data will be processed in accordance with applicable legal regulations in order to document, archive and disseminate information about activities undertaken or supported by Energy Events. This data in the form of an image will be made public on the website and on Energy Events profiles in social media, as well as made available to participants and event organizers, entities authorized under the law, granted consent or based on a contract of entrustment.
Personal data will be processed during the period of use of the website www.gdanskmaraton.com and participation in the Event for which the Participant registers via the website.
After this period, personal data will continue to be stored for purposes arising from legal regulations (especially tax and accounting) as well as to counteract fraud and abuse and to pursue any claims arising from the concluded contract.
Some personal data (especially those contained in the Event results) may also be processed after this date for statistical, archival or promotional purposes.
DATA SUBJECTS’ RIGHTS:
Participation in events and thus sharing personal data, including an image, is voluntary, but necessary to participate or stay at the event. This data will not be profiled or transferred to third countries or international organizations.
Everyone has the right to withdraw consent to the processing of their data, which Energy Events as the administrator has in its databases, as well as to access this data, rectify it, delete it or limit it, object to the processing, transfer the data and file a complaint to the supervisory authority. It should be remembered that the withdrawal of consent does not have retroactive effect – the processing will be legal until the consent is withdrawn by the data subject.
When reporting changes to the processing of your data, please indicate exactly which photos, videos or content the changes apply to.
These data are stored until consent is withdrawn or the purpose for which the data is processed is achieved.
LEGAL BASIS:
On 25 May 2018, Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (“GDPR”) entered into force.
The legal basis for the processing of your data is Article 6 paragraph 1 letter f of the GDPR (legitimate interest of the Administrator, which in this case is the promotion of the Organizer’s activities) and Article 6 paragraph 1 letters a and b of the GDPR, i.e. the consent of the data subject and the performance of the contract to which the Participant is a party.
According to the definition of personal data contained in the GDPR, an image is considered personal data and is therefore subject to protection under the principles contained in this act. Furthermore, based on Article 81 paragraph 2 of the Copyright Act, the dissemination of an image does not require permission:
- a well-known person, if the image was made in connection with the performance of his or her public functions, in particular political, social, professional (e.g. director, manager);
- a person constituting only a detail of a whole such as an assembly, a landscape, a public event.
COMPLAINT ABOUT THE WAY OF PROCESSING PERSONAL DATA:
A complaint may be lodged with the supervisory authority: President of the Personal Data Protection Office, ul. Stawki 2, 00-193 Warsaw.
