MARATHON RELAY RULES AND REGULATIONS

  1. The organizer of the Marathon Relay Race held during Energa Gdańsk Marathon 2025 (hereinafter referred to as the Event) is Energy Events Sp. z o.o. Sp.k., ul. Kaszubska 53, 80-297 Miszewko
  2. The Event Office (from 18/04/2026 to 19/04/2026) is located at Polsat Plus Arena Gdańsk, ul. Pokoleń Lechii 1 (hereinafter referred to as the Event Office).
  1. Popularization and dissemination of running as the simplest form
  2. Promotion of the City of Gdańsk in Poland and around the world.
  3. Promotion of event Partners and Sponsors before, during and after the event.
  1. The event will take place on April 6, 2025 in Gdańsk. Start and finish at Polsat Plus Arena Gdańsk, ul. Pokoleń Lechii Gdańsk 1.
  2. The event will start as scheduled.
  3. Only Relay Teams registered to participate in the Event in accordance with the provisions of these Regulations may take part in the Event.
  4. The Organizer has the right to change the date and/or place of the Event, and the Organizer will post the appropriate information on the Event Website www.gdanskmaraton.com no later than 24 hours before the start of the Event. Making changes in the above scope does not result in the creation of additional obligations on the part of the Organizer towards the Relay Participants.
  5. The Organizer has the right to cancel the Event in the event of a significant change in circumstances resulting in the fact that the implementation of the Event is not in the public interest.
  6. The length of the Event route is 42.195 km. On 6.04.2025, the route will be certified by the Polish Athletics Association (hereinafter referred to as PZLA).
  7. The route will be marked with vertical signs every 1 kilometre.
  8. The Event involves Relay Teams, each consisting of four Relay Participants (including one Relay Captain). The Relay Team has to cover a total distance of 42.195 km, and each Relay Participant must run a specific distance with the baton called a shift. The change ends after passing the baton to the next Relay Participant in the change zone.
  9. Lengths of individual relay shifts:
    a) 1st shift – about 10 km
    b) 2nd shift – about. 10 km
    c) 3rd shift – about 11 km
    d) 4th shift – about 11,2 km
  10. Participants of the first shift of the Relay will line up in the second starting zone and will have the opportunity to take the return bus from the transition zone.
  11. Participants of the 2nd, 3rd and 4th shift of the Relay have the opportunity to use bus transport provided by the Organizer to and from the change zone.
  1. The Participant of the Event is the Relay:a) Whose Captain (hereinafter referred to as the Relay Captain) has registered using the form available on the Organizer’s website www.gdanskmaraton.comb) Who has paid the entry fee on time.
  2. The Relay Team must consist of four Relay Participants. A Relay Participant may not start in more than one leg in one Relay Team. One Relay Participant may start in one Relay Team.
  3. There is a limit of 300 entries.
  4. Only those who will turn 16 no later than 6 April 2025 may participate in the Relay. All minor Relay Participants are required to present a properly completed parental consent (Appendix No. 1 of the Regulations) at the Race Office.
  5. The Relay Captain must be a Participant of the Relay that he/she registers for the Event..
  6. Relay teams are subject to PZLA regulations and these Regulations.
  7. The Organizer prohibits the sale of collected starting packages, starting numbers and the exchange of batons with chips between Relay Teams under penalty of disqualification.
  8. The Organizer does not send starting packages to the address of the Relay Participants. The collection of starting packages takes place only according to the principles specified in these Regulations.
  9. Relay Participants are required to observe public order, the orders of the security services and respect other Relay Participants. The Organizer has the right to remove from the Event area Relay Participants who disrupt public order, the course of the Event or behave in a manner that is inconsistent with the Regulations and the provisions of the PZLA.
  10. Starting packages for the Relay Teams are collected by the Relay Team Captains or persons authorized by them in writing (Appendix No. 2 of the Regulations) at the Event Office.
  11. The starting package can only be collected at the Event Office. The Event Office opening hours are specified in the schedule available at www.gdanskmaraton.com
  12. The Relay Participant is required to place the start number on the front. The start number must be visible. Covering or removing the start number will result in disqualification of the Relay.
  13. Staying on the Event route without a valid start number is not permitted. Participants without a valid start number will be removed from the route by the route staff.
  14. A Relay Participant taking part in the Event cannot start in the Energa Gdańsk Marathon 2026 at the same time.
  15. The Organizer will make every effort to provide all information through the sound system before and during the Event. In order to hear the Organizer’s and judges’ announcements, it is recommended that Relay Participants do not use their own electronic devices with headphones.
  16. Providing personal data and expressing consent to their processing is voluntary, but necessary to participate in the Event in accordance with the provisions of the regulations. Relay Race Participants who have provided their personal data have the right to access their data and correct them, as well as to withdraw consent to their processing. Withdrawal of consent to the processing of personal data until the end of the Event results in the inability to participate in it. At any time, the Organizer may process personal data in connection with the organization of the Event, also in cooperation with other entities to the extent necessary for the proper organization of the Event.
  1. The Relay Team is registered by the Relay Captain on the Event website www.gdnaskmaraton.com by 05.04.2026.
  2. The Relay registration is considered to be the completion by the Relay Captain of the online registration form and payment of the entry fee in the full amount specified in these Regulations. The date and time of crediting the entry fee to the Organizer’s bank account is considered to be the deadline for payment of the entry fee.
  3. In the event that the limit of three hundred relays is not reached by 05.04.2026, the Organizer provides for the possibility of registering a Relay for the event at the Event Office on 18th April 2025 during its opening hours. The Organizer reserves the right to limit newly registered Relays until the limit of 300 Relays is reached and no more than 10 newly registered Relays in this way. The order of applications at the Event Office is decisive.
  4. The Event Organizer reserves the right to provide additional starting packages for invited Relay Teams.
  1. 1. The following entry fees apply to the Relay for participation in the Event:
    a. until 30.10.2025. – 399 zł
    b. from 1.11.2025 to 31.12.2025 – 489 zł
    c. from 1.01.2026 to 31.01.2026 – 579 zł
    d. from 1.02.2026 to 28.02.2026 – 669 zł
    e. from 1.03.2026 to 5.04.2026 – 759 zł
    f. at the race office– 799 zł (payment in cash and card),
    In the event of failure to pay the entry fee in a sufficient amount (e.g. as a result of exceeding the payment deadline specified in these Regulations), the Relay Team is obliged to make up the difference up to the amount that should have been paid in accordance with the deadline for making its last payment.
  2. Proof of receipt of the entry fee is an email sent to the email address provided during the relay team registration and the appearance of the relay team on the start list.
  3. Start numbers will be assigned to Relay Teams after the registration deadline.
  4. The Organizer is not responsible for the loss of the entry form or postal order or bank transfer due to the fault of the post office or bank.
  5. The entry fee once paid is non-refundable, even if the Relay Team withdraws from the Event or is disqualified by the Organizer.
  6. The organizer allows payment by bank transfer for the start of the relays based on a proforma invoice. After paying the proforma invoice and posting the funds to the organizer’s account, the organizer sends a one-time code enabling free registration of the relay for the competition. The code is valid until 5th of April 2026, 11:59 p.m. The organizer is not responsible for the lack of registration of the relay on time and does not refund funds for the lack of registration of the relay.
  7. The Relay Captain who wishes to receive an invoice for the entry fee should send a request for the issuance of the above invoice to the e-mail address: info@gdanskmaraton.com within 7 days of making the payment.
  8. Free change of Relay Participant is possible only until 5th of April 2026, 23:59. Changes are made by the Relay Captain by sending an e-mail to the address: info@gdanskmaraton.com
  9. After the deadline indicated in point 8, changing the data of the Relay Participants will be possible only in the event office at the “New Registration/Data Edit” stand. The fee for changing one relay participant in the Event Office is PLN 30.
  10. The costs of the entry fee, travel and other services are covered by the Relay Participants themselves.
  1. Time measurement is carried out using an electronic system.
  2. There will be time control points on the Event route. Relays that shorten the route will be disqualified. Failure to read a Relay Participant at a given control point may result in disqualification of the Relay.
  3. The time of each Relay is measured using chips placed in the starting numbers of the Relay Participants.
  4. Disqualification of one Relay Participant is equivalent to disqualification of the entire Relay.
  5. Relays are subject to a total time limit of 5.5 hours and partial limits for each change. Closing times for individual change zones:
    a) closing of the first change zone, will take place at: 12:00 – if the Participant of the first shift of the Relay does not cross the mat in the first change zone by this time, the next Relay Participant will not be able to start,
    b) closing of the second change zone, time: 12:40 – if the Participant of the second shift of the Relay does not cross the mat in the second change zone by this time, the next Relay Participant will not be able to start,
    c) closing of the third change zone, will take place at: 13:20 – if the Participant of the third shift of the Relay does not cross the mat in the third change zone by this time, the next Relay Participant will not be able to start.
  6. The condition for classifying the Relay is that all Participants in the Relay finish the race. The total gross time of the Relay is taken into account. (gross – from the starter’s shot).
  1. Refreshment points are stocked with water, isotonic drinks and bananas. The points are placed from approx. 5 km along the route, every 5 km.
  2. Watering points are supplied with water. The points are placed from approx. 7.5 km of the route every 5 km.
  3. Only one Participant of a given Relay may be in the change zone. Relay Participants ending their shift must leave the change zone without undue delay.
  4. In the changeover zone, Relay Participants must strictly obey the judges’ decisions.
  5. The transition zone will be a separate corridor where the Participants of the next Relay changes will wait. A Relay Participant may start the race after taking the baton from the Participant of his Relay who is finishing his shift.
  6. The Organizer does not provide refreshment points in the transition zone.
  7. In the event of blocking the route, blocking another Relay Participant or causing a collision in the designated changeover zone, the guilty Relay Participant may result in a warning penalty resulting in an additional 5 minutes (yellow card) or disqualification (red card) for his Relay Team.
  8. The above penalty cannot be appealed or protested.
  1. During the Event, the following Relay classifications will be held:
    a) men’s (men only),
    b) women’s (women only),
    c) mixed (at least one person of a different gender than the others)
    d) company classification, for relays registered by companies
  2. A relay team can only be classified in one classification.
  1. Changing rooms and a deposit for Relay Participants will be located in a marked tent on the premises of Polsat Plus Arena Gdańsk, ul. Pokoleń Lechii 1.
  2. The deposit will be open on the day of the Event at the hours specified in the schedule available on the website www.gdanskmaraton.com
  3. Relay participants deposit items packed in bags, marked with a sticker with the start number. The bags and stickers are provided by the Organizer in the start package.
  4. The bags will be released from the deposit upon presentation of the starting number.
  5. In the event of loss of the bib number, the bag with the Relay Participant’s belongings left in the deposit will be released upon presentation of an identity document with the Relay Participant’s photograph.
  6. Loss of the bib number by a Relay Participant releases the Organizer from responsibility for items taken by another person.
  7. The Organizer is not responsible for valuables left in the changing room.
  1. All Relay Participants who finish the Event will receive commemorative medals. Medals for relay teams will be awarded at the finish line. A set of four medals upon return of the relay baton.
  2. Statuettes or cups will be awarded for places I–III in each category.
  3. The organizer reserves the right to fund additional cash and material prizes in categories of its choice.
  4. The awarding of the winning Relay Teams in all categories will take place according to schedule.
  1. The final interpretation of these Regulations rests with the Event Organizer.
  2. The Relay Captain declares that all personal data of the Relay Participants entered in the application form are complete and true.
  3. The Organizer is not responsible for any collisions or accidents on the route caused by the fault of the Relay Participant, nor for accidents or random events occurring during travel to and from the Event.
  4. Each Relay Participant takes part in the Event at their own risk. Submitting a correctly completed Registration Form to the Organizer by the Relay Captain and paying the entry fee means that the Relay Participant has considered and assessed the nature, scope and degree of risk associated with participating in the Event, including the risk of accidents, the possibility of bodily injury and physical harm (including death), as well as property damage and losses, and has voluntarily decided to take this risk.
  5. The Organizer and all persons acting on his behalf or with his authorization, related to conducting and organizing the Event, are not liable for any personal injury or property damage to the Relay Participants that may occur before, during or in connection with the Event.
  6. Relay Participants are civilly liable for any damage they cause to other Event Participants and third parties.
  7. Each Participant of the Event will be insured against accidents during its duration.
  8. The Relay Teams undertake to comply with the terms of these Regulations. Correct registration of the Relay Team confirms familiarization with the terms of the regulations, participation in the Event and their full acceptance by each Relay Team Participant.
  9. The Relay Participant is required to wear the start number on the front of the body. The start number must be visible. Covering or removing the start number will result in disqualification.
  10. The Event Participant consents to the public disclosure of his/her personal data in the form of name, surname, town and year of birth on the start list and on the results list.
  11. The Organizer and Event Partners are authorized to use the image, statements and personal data of individual Event Participants participating in individual stages of the Event, and these images and data will be used in materials promoting the Event and accompanying events (press, radio, television, Internet, graphic materials). Event Participants are not entitled to any further gratifications, in particular remuneration for the use of the image, statements and personal data of individual Event Participants. The Event Participant undertakes not to withdraw the above consent for at least 5 years from the date of the Event.
  12. Ignorance of the Event Regulations does not exempt the Event Participant from the rules specified by the Organizer in the above-mentioned document.
  13. The regulations may be changed by the Organizer at any time.
  14. Animals are not allowed on the Event route.
  15. Participants of the Event are prohibited from bringing narcotics, illegal substances, performance enhancing substances and alcohol of any kind into the Event area. Participants of the Event are prohibited from taking such drugs and substances both before and during the race under penalty of disqualification. If it is found that a Participant of the Event violates the above prohibition, the Organizer reserves the right not to allow them to participate in the race or to disqualify them during it.
  16. The Participant of the Event is not allowed to use any assistance specified in the rules of athletics competitions, including assistance to the Participant by persons not participating in the Event, running with the Participant of the Event or riding a bicycle.
  17. The Organizer provides medical care exclusively for the Event Participants on the Event route from the start to the closing of the Event route specified by the time limit, as well as in a marked tent, on the premises of Polsat Plus Arena Gdańsk, ul. Pokoleń Lechii 1 until 3:00 p.m. The Organizer does not cover medical costs or transport costs not covered by the scope of the Event medical coverage.
  18. Decisions made by the Medical Coordinator or medical service regarding the participation of a Relay Participant in the Event are independent and binding on the Relay Participant. Failure to follow the recommendations of the medical service will result in disqualification of the Relay Participant.
  19. Participants of the Event are obliged to follow the instructions of the Police, Municipal Guard, judges and the Organizer’s security personnel and services securing the route of the Event.
  20. Protests regarding the results are accepted until 20.04.2026 (Monday) until 15:00 to the email address: info@gdanskmaraton.com Protests submitted after the deadline will not be considered on the merits. Protests will be considered within 72 hours.
  21. The final and official results will be published no later than 30/04/2026, 3:00 p.m.

Processing of personal data of participants provided to the Organizer during registration in connection with participation in the Event also includes publication of the name and surname, date of birth of the participant together with the name of the town where he/she resides – in any way in which personal data will be published or disseminated. The Organizer also has the right to publish the name and surname of the participant together with his/her date of birth, name of the club and the town where he/she resides, on the starting list and in the competition results published on the Internet and at the place of the Event.

We inform that during events organized or co-organized by Energy Events Sp. z o.o. Sp.k. (Kaszubska 53, 80-297 Miszewko), hereinafter referred to as Energy Events, will be taken and then made public via the Energa Gdańsk Maraton profile on the social networking site Facebook (https://www.facebook.com/profile.php?id=61566429442527) and the website www.gdanskmaraton.com, photos or videos that may capture the image of the people present, as well as their other personal data.

By staying on the premises or taking part in a sports event, festival or other event organized or co-organized by Energy Events, participants and observers consent to the publication and processing of their images in photos or videos taken during the events, as well as any other personal data. At the same time, we assure you that we make every effort to ensure the security of your data.

PERSONAL DATA CONTROLLER:

We would also like to inform you that Energy Events has appointed a Data Protection Officer who can be contacted by letter to the address of Energy Events (Administrator) given above, with the note: “TO THE PERSONAL DATA PROTECTION INSPECTOR” or by e-mail to the e-mail address: rodo@energyevents.pl – in all matters relating to the processing of personal data by Energy Events.

RECIPIENT OF PERSONAL DATA:

Personal data will be disclosed to employees, collaborators and subcontractors of Energy Events to the extent necessary to achieve the aforementioned purposes of personal data processing.

Start lists and results, containing basic personal data, will be publicly available and may be published on the Event website.

PURPOSE AND PERIOD OF DATA PROCESSING:

The personal data of the Event participants will be processed for the purposes of performing the contract, i.e. the Participant’s participation in the Event, conducting the Event, selecting the winner and awarding, issuing, receiving and settling the prize, as well as publishing the results.

Personal data will be processed in accordance with applicable legal regulations in order to document, archive and disseminate information about activities undertaken or supported by Energy Events. This data in the form of an image will be made public on the website and on Energy Events profiles in social media, as well as made available to participants and event organizers, entities authorized under the law, granted consent or based on a contract of entrustment.

Personal data will be processed during the period of use of the website www.gdanskmaraton.com and participation in the Event for which the Participant registers via the website.

After this period, personal data will continue to be stored for purposes arising from legal regulations (especially tax and accounting) as well as to counteract fraud and abuse and to pursue any claims arising from the concluded contract.

Some personal data (especially those contained in the Event results) may also be processed after this date for statistical, archival or promotional purposes.

DATA SUBJECTS’ RIGHTS:

Participation in events and thus sharing personal data, including an image, is voluntary, but necessary to participate or stay at the event. This data will not be profiled or transferred to third countries or international organizations.

Everyone has the right to withdraw consent to the processing of their data, which Energy Events as the administrator has in its databases, as well as to access this data, rectify it, delete it or limit it, object to the processing, transfer the data and file a complaint to the supervisory authority. It should be remembered that the withdrawal of consent does not have retroactive effect – the processing will be legal until the consent is withdrawn by the data subject.

When reporting changes to the processing of your data, please indicate exactly which photos, videos or content the changes apply to.

These data are stored until consent is withdrawn or the purpose for which the data is processed is achieved.

LEGAL BASIS:

On 25 May 2018, Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (“GDPR”) entered into force.

The legal basis for the processing of your data is Article 6 paragraph 1 letter f of the GDPR (legitimate interest of the Administrator, which in this case is the promotion of the Organizer’s activities) and Article 6 paragraph 1 letters a and b of the GDPR, i.e. the consent of the data subject and the performance of the contract to which the Participant is a party.

According to the definition of personal data contained in the GDPR, an image is considered personal data and is therefore subject to protection under the principles contained in this act. Furthermore, based on Article 81 paragraph 2 of the Copyright Act, the dissemination of an image does not require permission:

  • a well-known person, if the image was made in connection with the performance of his or her public functions, in particular political, social, professional (e.g. director, manager);
  • a person constituting only a detail of a whole such as an assembly, a landscape, a public event.
COMPLAINT ABOUT THE WAY OF PROCESSING PERSONAL DATA:

A complaint may be lodged with the supervisory authority: President of the Personal Data Protection Office, ul. Stawki 2, 00-193 Warsaw.
